How-to questions

Hi! Don’t forget to take a look in the Knowledge Base for answers to common questions :)

How do I...?

You've used all your votes and won't be able to post a new idea, but you can still search and comment on existing ideas.

There are two ways to get more votes:

  • When an admin closes an idea you've voted on, you'll get your votes back from that idea.
  • You can remove your votes from an open idea you support.
  • To see ideas you have already voted on, select the "My feedback" filter and select "My open ideas".
(thinking…)

Enter your idea and we'll search to see if someone has already suggested it.

If a similar idea already exists, you can support and comment on it.

If it doesn't exist, you can post your idea so others can support it.

Enter your idea and we'll search to see if someone has already suggested it.

  2. Retrieve Value from Grand-Parent Table?

Is it possible to retrieve the value from a field in a grand-parent table?

I've tried modifying the format of retrieving from a parent field by adding additional "connectors", but not getting it to work.

    Sample:
    {Table Name}.{Relationship Name}.{Relationship Name}.{Field Name}, or
    {Table Name}.{Relationship Name}.{Table Name}.{Relationship Name}.{Field Name}

I could "step" the values down one level at a time, but thought it would be easier to go straight to the source.

    Thanks

  4. How to Return a 2-Digit Value for Date Formula "Month(date)" and "Day(date)"

Using the month() and day() formula result in a single digit number returning. eg: January = 1.

Is there a way to have a 2 digit value return for all?
    eg: January=01

I'm trying to get a result of: 2014-01-15

    concatenate(year({Month Ending}),"-",month({Month Ending}),"-",day({Month Ending}))

  5. Multiple Unique Record ID's

I'm new to this platform, and starting a slow migration from the Classic version.

One question that I have is with the unique Record ID's.

ln the classic version, there is a system generated unique ID for each record (Record Locator), plus we have the option of using a second field for the purposes of importing files, linking from a child table, and used for calculated formulas.

I don't see this option in the Pro platform. I can only find a single Record ID.

As a User Case, there are times when we need a unique number when importing source…

  7. Changing the Font Color for Field Values

Is there a way of changing the font color for field values?

We can change the form background and label colors, but not the color of the field values which remain black.

This makes is difficult to read on darker background colors.

  8. Multiple Imports

With the Pro platform advising the end-user that their import is taking longer than expected, and allowing the import window to be closed, is it safe to start a second import on the new screen?

  9. Text editing questions

Hi, I was working on editing tables.
    1. How can I realize text wrap( turn to next line) functionality in concatenate functionality?
    2. Other than the logic formula"if", do we have a "ifnot" together with it?

    Thanks!

  10. Setting Record and Field Permissions

Reading through the KB and Forums, I've been able to piece together how Record and Field level permissions work, and looking for confirmation.

To limit what a user sees, we need to:
    1. Create a View which holds the Records and Fields the user is allowed to see.
    2. Create a Role specific to that View
    3. Add the User to that Role
    4. Create a Form and pair with the View

This seems pretty cumbersome, so not sure if I'm understanding correctly (from: http://help.trackvia.com/forums/216889-how-to-questions/suggestions/5927293-limit-access-to-specific-fields-by-role)

    User > Role > View/Form

    Thanks !

  11. Super Admin vs. Admin ?

    Hi,

I'm looking for confimation in my understanding of Admin user permissions.

There are two (2) Admin permissions in the system: Super-Admin and Admin.

    My understanding is:

    - Super Admin is the See Everything/Do Everything account level permissions that over-ride any application level permissions granted. This is set on the users account.

    - Application Admin gives all access (read/write/delete etc) for everything within in the specific application ONLY (not outside of this application). This permission is set within the Role the user is assigned to. Question: If the Super-Admin specifies the View for a table which does not show all…

  16. Create a pie chart based on counts of values?

We have four of five different attributes we apply to our projects to group them by (e.g. IT/Digital/Engineering/Sustainment). I would like to create a pie chart that shows the percentage of projects per criteria. So we might have 30% "Engineering" projects vs. 40% "IT" projects. But I can only seem to create a pie chart based on fields with numbers. Is there any way to create a pie chart as I described?

  20. Is there a way to select records in a table that are not linked to any other table

I have a table of people who completed volunteer applications and a table of various volunteer jobs and a many to many link to link the volunteers to the activities they actually performed. That is working fine. I want to find all the people on the table of people who completed a volunteer application who have never volunteered at all. Is there a way to do that?
