With the use of a custom-built form in a child table, you can assign a parent table's view to a relationship field. This will determine what records a user can link to when using that form. This field setting, called the Preferred Parent View, allows you to create a filtered list of parent values to choose from when utilizing the relationship field to link records. Or you can simply assign an un-filtered view to ensure users can link to any record in the parent table. When you add a relationship field to a form, you will see a window appear similar to the image below.
In this example, we have assigned a filtered view from the parent table that only includes records where the name contains the letter "R". Below is a screenshot of what a user will see when using the relationship field on a form. As you can see, the only customer names available to select all contain the letter "R".
As stated in the tips shown in the first image above, you will want to ensure the users that are assigned to use the form also have access to use the view assigned in this field setting. If a Limited user does not have the preferred parent view included in their Role, then they will not be able to utilize the relationship field.
In the case, you want to assign different preferred parent views to specific Roles in this app -- all while using a similar form -- you can save a copy of that form and update the Preferred Parent View setting as needed. This is done by clicking the Save button followed by the Save As option shown below.
