Custom SMTP is a whitelabel feature that lets administrators configure their own SMTP settings for TrackVia to send mail through, instead of TrackVia's default mail delivery.
Who can use this
Only account administrators can configure Custom SMTP.
Where to find it
Administrators can find SMTP settings under the My Account submenu, alongside API Access.
What you can configure
From the SMTP configuration screen, you can specify:
- Your custom SMTP server details
- A custom return address for Alert emails
- A custom return address for Welcome emails
Security
Connections are always made over a secure connection — TrackVia will only send SMTP messages over a secure connection. Behavior varies by port:
- Port 25: TrackVia will attempt TLS; if the SMTP server doesn't support TLS, the connection will error.
- Port 465: TrackVia will send over SSL.
- Port 587: TrackVia will send over TLS.
Testing before you enable it
Don't check Enable SMTP Settings until you've tested your configuration:
- Enter your SMTP settings.
- Use the Test Configuration button to verify they work. Test emails are sent to the email address of the account currently logged in.
- Only check Enable SMTP Settings once you've confirmed the configuration is correct — changes take effect immediately upon saving.
Using Gmail as your SMTP server
If you're using Gmail as your SMTP server, you'll need to authenticate with an App Password rather than your regular Gmail password — Google no longer supports "less secure app" access. To set this up:
- Make sure 2-Step Verification is turned on for the Google account.
- Generate an App Password for the account (via the account's Google Security settings).
- Use that App Password, not your regular Gmail password, in TrackVia's SMTP configuration.
Important to know before enabling
If you use Custom SMTP settings in your account, TrackVia Support will not be able to check on sent emails.
Don't see SMTP in your menu?
If you don't see SMTP under your My Account submenu, contact your account manager.
Can you change who a TrackVia invitation email comes from?
By default, invitation emails come from <Company or Service Name> <welcome@trackvia.com>.
Using the Custom SMTP feature, you can change the Display Name and the reply-to email address of an invitation email, under the "Welcome Emails" settings. Outside of those two fields, there isn't currently a way to further customize who an invitation email comes from.
