You can add new records to an existing table, update existing records, or both, by importing a spreadsheet. Before you begin, review How to Prepare a Spreadsheet for Importing.
Before you start: Only administrators can import data. If you don't see the "Import to Table" option described below, you don't have administrator access.
Step 1: Open the import wizard
Go to your table, click the menu in the top right-hand corner, and select Import to Table.
Step 2: Upload your spreadsheet
Upload your .xlsx or .csv file, or copy and paste the data. (See How to Prepare a Spreadsheet for Importing.)
Step 3: Confirm the import options
Confirm your header row — tell us which row in your file has your field titles.
Tell us how we should handle errors:
- Reject the whole row — choose this if you want to correct the errors in your file and re-import the whole row.
- Set the problem field to blank, but import the rest of the row — choose this if a blank value is okay, or if you'd rather correct the error directly in TrackVia afterward.
Select the type of import you wish to perform. TrackVia matches incoming rows to existing records using the table's Record ID, so your file must contain every component of the Record ID for matching to work (see How to create a unique ID):
- Add Only — adds every row as a new record.
- Add and Update — updates existing records whose Record ID matches a row in your file, and adds rows that don't match as new records.
- Update Only — updates existing records that match, and discards rows that don't match.
Optional: disable app scripts for this import. If the table has app scripts on it, a fourth option appears letting you disable them for the imported records. This applies only to the records in this import — not to records added or updated manually — and only to the current import. Disabling app scripts decreases the time the import takes, and is also a useful workaround when app script errors are blocking an import (see Troubleshooting Imports).
Step 4: Map your data
Link to a related table (optional). The import can link records to a parent table. To do this, your file must contain the components that make up the Record ID of the table you wish to link to; for mapping purposes, the related table's components appear in brackets. See How to Prepare a Spreadsheet for Importing to make sure you have all the required columns.

Map your fields. Match the columns in your spreadsheet to the fields on your table. Calculated fields default to "Do Not Import" — they populate automatically once the import completes. To manually exclude a column, click the red "X" on it.
Step 5: Run the import and review the results
Click Next to begin the import. If you stay on the import screen, you'll be notified in the application when it completes; if you navigate away, you'll receive an email instead. Either way, the results tell you how many records were added, how many were updated, and how many had errors, and let you download a detailed error report.
