This article is specific to the updated TrackVia UI released in Fall 2026
A Calendar view shows a table's records on a calendar, on the day of each record's start date. Anyone with access to the view can use a Calendar view in TrackVia's updated UI. Sections cover colors, time zones, spans, and display types.
Calendar views: before you begin
- An Admin sets up the Calendar view and picks the date field that places records on the calendar.
- You need access to the Calendar view through your role.
- An Admin chooses which display types a Calendar view offers.
- If a Calendar view offers only the calendar display type, the Display mode switcher doesn't appear.
Calendar views: what the calendar shows
- The view's title and description show above the calendar.
- Each record shows on the day of its start date.
- A record with a start and end date shows on every day from the start date through the end date, including the end date.
- Records with a time show on the day and at the time they fall in your TrackVia time zone, not your computer's time zone.
- Today's date is highlighted on the calendar, based on your TrackVia time zone.
- Records that match one of the view's conditional formatting rules show in that rule's colors.
- While records load, a placeholder grid shows in place of the calendar.
- A month with no records shows an empty calendar. An empty calendar isn't an error.
Note: Records with no start date don't appear on the Calendar view. To show a record on the calendar, enter a date in the view's start date field.
Calendar views: conditional formatting colors
A Calendar view uses the view's conditional formatting rules to color records, so you can see at a glance which records need attention. Admins set up the rules on the view.
Only rules that format the whole record change how a record looks on the calendar. Rules that format a single field don't color calendar records.
- A record that matches a rule is filled with the rule's colors. The record's border shows the rule's color at full strength.
- The fill keeps the color the Admin picked but evens out how bright the color is. No rule stands out more than the others. A pale color gives a light tint, and a bright color gives a stronger fill.
- Text on a colored record stays easy to read with any rule colors. TrackVia picks a text color that reads clearly against the fill, so the text may not match the rule's text color exactly.
- A rule that sets only a text color keeps the record's normal background and adds a border in the rule's color.
- A record that matches no rule shows in the normal calendar colors.
- In dark mode, rule colors are adjusted for the dark background and stay easy to read.
Calendar views: time zones and all-day records
A Calendar view places records using your TrackVia time zone, not the time zone set on your computer or browser.
Records from a Date/Time field show at the time they happen in your TrackVia time zone. For example, a record set for 9:00 AM Mountain time shows at 11:00 AM for a teammate whose TrackVia time zone is Eastern. So the same record can land on a different day for users in different time zones.
Records from a Date field (a date with no time) are all-day records. An all-day record shows on the date saved in the record for every user, in any time zone. A Date field set to October 15 always shows on October 15.
If a record shows on a different day than you expect, check the time zone on your TrackVia user profile.
Calendar views: switch between Month, Week, and Day
A Calendar view can show 1 month, 1 week, or 1 day at a time. Use Month to see the bigger picture, and Week or Day to see the times records happen.
To change the span, in the upper right of the Calendar view, click Month, Week, or Day. The span you're using shows as selected.
When you switch spans, the Calendar view stays near the dates you were looking at instead of jumping back to today.
- If you're looking at the current month and switch to Week, the calendar shows this week.
- If you're looking at a different month and switch to Week, the calendar shows the week that includes the 1st of that month.
- If you go from Month to Week and back to Month, the calendar returns to the same month.
- If you search the Calendar view, the calendar keeps the span and dates you picked.
Note: A Calendar view always opens on Month, including when you leave the view and come back. Admins can't set a different starting span.
Calendar views: how records show in Week and Day
Week shows 7 columns, Sunday through Saturday. Day shows 1 column. Both spans show the hours of the day and an all-day row.
- Records from a date field with no time show in the all-day row.
- Records with a time show at their times on the hours of the day.
- A timed record that runs over more than 1 day shows across each day the record covers.
- A week or day with no records shows an empty calendar. An empty calendar isn't an error.
Calendar views: move between months, weeks, and days
The Previous and Next buttons move the Calendar view by 1 unit of the span you picked. The buttons move 1 month in Month, 1 week in Week, and 1 day in Day. The title above the calendar changes to match the dates you're looking at.
- At the top left of the Calendar view, click Next to move forward.
- Click Previous to move back.
- Click Today to return to today's date.
The Calendar view moves across months and years in every span. For example, a week can start in December and end in January, and Day goes from February 28 to March 1.
Calendar views: see every record on a busy day
When a day has more records than fit in the day's box, the Calendar view shows the first 3 records and a +N more link. N is the number of hidden records. For example, a day with 5 records shows 3 records and +2 more.
- On the day, click +N more. A pop-up lists every record on that day.
- To close the pop-up, press Esc or click anywhere outside the pop-up.
Calendar views: switch display types with the Display mode switcher
The Display mode switcher shows the same records as a calendar, a timeline, or a grid without leaving the Calendar view. The Display mode switcher is in the view toolbar.
From left to right:
| Option | Tooltip | What it shows |
|---|---|---|
| Calendar | View as calendar | The records on a calendar |
| Timeline | View as timeline | The records on a timeline |
| Grid | View as grid | The same records as a grid |
- Open a Calendar view.
- In the view toolbar, hover over an option in the Display mode switcher to see its tooltip, such as View as timeline.
- Click Calendar, Timeline, or Grid.
The Calendar view refreshes to show the records in the display type you picked, and the Display mode switcher highlights that option. The Grid display can show a short loading placeholder while its records load.
Calendar views: use the Display mode switcher with a keyboard
Press Tab to move to the Display mode switcher. Use the arrow keys to move between Calendar, Timeline, and Grid, then press Space or Enter to select one.
Calendar views: how your display type choice is saved
The display type you pick is saved in the page link (URL) for the Calendar view.
- If you reload the page, the Calendar view opens in the same display type.
- If you copy the link from your browser's address bar and open the link later, the Calendar view opens in the same display type.
- The browser Back button doesn't step back through display types. Back takes you to the page you were on before the Calendar view.
- If a link asks for a display type the Calendar view doesn't offer, the Calendar view opens in its default display type instead.
Calendar views: when the calendar won't load
If a Calendar view's settings are incomplete or out of date, the view shows a message instead of a calendar. The message tells you what's wrong:
- This view has no calendar or timeline settings. The view was never set up as a calendar.
- This view has no date field configured to place records on. No start date field is picked for the calendar.
- The date field this view places records by is no longer one of its columns. The date field was removed from the view.
- The field this view places records by no longer holds dates. The field picked for the calendar isn't a date field anymore.
If you see one of these messages, contact your Admin to update the Calendar view's settings.
