This article is specific to the updated TrackVia UI released in Fall 2026
A view doesn't have to stay inside TrackVia. You can send it to someone by email, print it, or save a copy of it as a file. This article covers the three options for getting a view out of TrackVia: Share this view, Print this view, and Export.
All three options live in the view options menu. To open it, click the ellipsis (...) in the view toolbar in the upper right corner of the page.
Share This View
Sharing sends the view to one or more people by email. Use it when you want to point coworkers, customers, or vendors to a specific set of records, such as the In maintenance view, without walking them through how to find it.
1. Click the ellipsis (...) in the view toolbar.
2. Select Share this view.
3. Add your recipients. A recipient can be a TrackVia user in your account or any internal or external email address, and you can add as many as you need.
4. Enter a subject for the email.
5. Enter your message.
6. Click Send Now.
What recipients see
The email shows the details of the view, but recipients cannot drill down into a record from the email itself. Each record in the email is a link to that record in TrackVia. A recipient who has access to the record in TrackVia can click the link to open it there. A recipient without access can read the view in the email but cannot open the records.
The email shows the view as your admin built it. Any quick filter or quick search you've applied is not included.
Print This View
Printing a view allows you to save the view as a PDF. To print a view, click the ellipsis (...) in the view toolbar and select Print this view. Your browser's print window opens, where you choose "Save as PDF" or select a printer, then click Save.
The printout reflects what you're looking at right now, including any quick filters and quick search you've applied.
Export
Exporting a view allows you to download the view as a file (.csv, PDF, PNG, or Excel) to your computer.
To export a view, click the ellipsis (...) in the view toolbar and select Export. What happens next depends on the type of view:

| Chart | Lets you choose CSV or PNG before the file downloads |
A CSV is a spreadsheet file you can open in Excel or another spreadsheet tool. A PNG is an image snapshot of the chart as it's currently displayed, which you can drop into an email, slide, or report. The PNG option is available only on chart views.
The export reflects what you're looking at right now, including any quick filters, quick search, and sorts you've applied.
A few things to note:
- Exporting creates a copy. Changes you make to the exported file do not change the records in TrackVia.
- None of these options change the saved view for anyone else.
- An admin can turn off sharing, printing, or exporting for certain roles. If you don't see one of these options in the ellipsis menu, ask your TrackVia admin.
