Grouped Views

What a Grouped View Is

A grouped view is a view that sorts records into collapsible sections based on the value of one field. Instead of a single flat list, you see a heading for each distinct value in that field, with the matching records nested underneath it.

In the example below, if you group a list of asset maintenance orders by Status, you get one section for "Temporary Hold", one for "Active", and one displaying the total. Each section holds only the records with that status. The records themselves do not change. Grouping only changes how they are arranged on screen.

This is the difference between grouping and filtering: a filter removes records from the view. Grouping keeps every record and organizes them. If your view of asset maintenance orders shows 20 records, grouping it by Status still shows all 20, just divided into labeled sections.

How Grouping Behaves

The group field. You choose one field to group by. Every distinct value in that field becomes a section heading. Records with no value in that field collect into their own section. The section for records with no value is labeled Empty.

Grouped Views: open the records behind a group

You can open the records behind any group in a grouped view. The records open in a drawer next to the grouped view, so you can see what makes up a group without building a filter.

1. In the grouped view, click the group row you want to look at.

The drawer opens with the group's name as its title. The grouped view stays open behind the drawer, and the group row you clicked stays highlighted.

• To look at a different group, click another group row. The drawer switches to that group's records without closing.
• To close the drawer, press Esc.

Grouped Views: what the drawer shows

The drawer lists the group's records in a regular grid. The grouped view's summary columns, such as Count, don't show in the drawer. You can sort the records, resize fields, and choose how many records show per page. 

• Groups with many records are split into pages. Use the paging controls at the bottom of the drawer to see every record.
• If the grouped view has a filter turned on, the drawer only shows the records that match the filter. The number of records in the drawer matches the group's count.
• Records with no value in the group field are grouped under Empty. Opening the Empty group shows a drawer titled Empty that lists only the records with no value in the group field.
• To make the drawer fill the screen, click the full-screen button. 
• If a group's records can't load, the drawer shows "Couldn’t load these records." The grouped view behind the drawer isn't affected. You can still open other groups.

Tip: You can open and use the drawer with only the keyboard. With a cell in a group row selected, press Enter or Space to open the drawer. Press Esc to close the drawer and return to the same cell.
