An Attachments field holds up to 25 files of mixed types, such as images, PDFs, and spreadsheets, on a single record. This article covers adding the field to a table, uploading and viewing files, Attachments field limits, and managing attachments through the API.
Attachments fields: before you begin
- Use an Attachments field when a record needs several files in one place, such as inspection photos, audit documents, or onboarding paperwork.
- Use an Image or Document field when a record only ever needs one file. Image and Document fields work the same as before Attachments fields were released.
- A table can have up to 4 Attachments fields.
- Each Attachments field counts as one join toward the table's join limit, no matter how many files are uploaded to it. For details, see Understanding the Join Limit.
Add an Attachments field to a table
You add an Attachments field in the Table Builder, the same way you add any other field type. For the full steps, see How to Customize Tables.
Once the Attachments field is on the table, you can use it like other fields:
- Forms
- Views and Filters
- Show/Hide rules
- Parent and child views
- Flows
Attachments fields can't be used in Calculated or Triggered field formulas. Image and Document fields have the same limit.
Upload files to an Attachments field
You can upload several files to an Attachments field in one action. To upload files, drag them onto the Attachments field on a form, or use the field's file picker and select the files you want.
Each uploaded file shows as a thumbnail preview with its file name, so you can tell files apart at a glance.
A few things to note:
- One Attachments field holds up to 25 files.
- Each file can be up to 40 MB, and one field holds up to 1 GB in total.
- You can mix file types in one field, such as images, PDFs, and spreadsheets.
- Some file types, such as executables and scripts, are blocked for security. For the full list, see Accepted and Blocked File Types for Uploads.
View and download attachments
Files in an Attachments field open in the lightbox viewer, where you can expand, browse, and download the files on that record.
In views and grids, an Attachments field shows how many files it holds. You can download the files from a view as a single .zip file.
A few things to note:
- When you share an individual record, thumbnails from its Attachments fields aren't included.
- Copying a record doesn't copy its files. Upload the files again to the new record.
- To download every file in a table's Image, Document, and Attachments fields at once, contact TrackVia Support.
Attachments field limits
- Up to 25 files per Attachments field
- Up to 40 MB per file
- Up to 1 GB per Attachments field
- Up to 4 Attachments fields per table
- Each Attachments field counts as one join toward the table's join limit
- Attachments fields can't be used in Calculated or Triggered field formulas
- Thumbnails aren't included when you share an individual record
Manage attachments through the API
Attachments fields have their own OpenAPI endpoints, so an integration can work with files without anyone opening TrackVia. For example, an integration can push documents in from another system, pull files out for archiving, or clean up files as part of an automated process.
The endpoints let you:
- Upload one or more files to an Attachments field in a single call. Uploads add to the files already in the field. They don't replace them.
- Download one attachment by its ID. The file comes back with its original file type and file name.
- Delete one or more attachments, or clear every attachment in the field in one call.
The API follows the same form and view permissions as the TrackVia UI. If a user or API key can't see or edit an Attachments field in TrackVia, the API doesn't allow it either.
For endpoint details, see the TrackVia OpenAPI docs. For an overview of integration options, see Introduction to TrackVia Integrations.
