This article is specific to the updated TrackVia UI released in Fall 2026
A view shows you records in a table, and you can change how that table displays without changing the view itself. You can resize columns, move them around, keep one pinned in place while you scroll, hide the ones you don't need, and search or filter what's shown.
These changes affect your own display only. They do not change the saved view for anyone else.
The View Toolbar
Every view has a toolbar in the upper right corner of the page.
From left to right:
| Icon | What it does |
|---|---|
| Magnifying glass | Quick Search within the view |
| Sort | Sorts the records |
| Funnel | Quick Filter |
| Plus + | Adds a new record |
| Ellipsis (...) | Opens the view options menu |
The ellipsis opens a menu with additional options.
This menu holds Wrap column headers, covered below, along with Share this view, Print this view, and Export.
Column Header Controls
The toolbar acts on the whole view. Individual columns have their own controls, which appear at the right edge of a column header when you hover over it.
The three-dot menu opens that column's field options. It holds two items, Dock this field and Hide this field, both covered below.
The drag handle beside it, shown as six dots, is what you grab to move the column.
Resize Fields
To change a column's width, click the divider between two column headers and drag it left or right.
To size a column automatically to fit its contents, double-click the divider instead.
Reorder Fields
To move a column, hover over its header, then click and hold the drag handle at the right edge and drag the column to its new position.
Dock Fields
Docking pins a column to the left edge of the table so it stays visible as you scroll right. It is useful in a wide view where you need an identifying column, such as a record name, to stay on screen while you read the columns further out.
To dock a column, hover over its header, click the three-dot menu, and select Dock this field.
Docked columns move to the left edge and are separated from the rest of the table by a divider. The columns to the right of that divider scroll as usual.
You can dock more than one column. In the example above, two Check In fields are docked alongside the ID column.
To undock a column, click on the column options again and select "Remove from docked fields".
Hide Fields
Hiding a column removes it from your display without removing the field from the view or deleting any data.
To hide a column, hover over its header, click the three-dot menu, and select Hide this field.
To show a hidden field again, click on the <> by the field name and select "Show hidden column".
How to Quick Search
Quick Search narrows a view to the records matching your text, without changing the saved view.
- Click the magnifying glass in the view toolbar.
- Type your search text.
- The view narrows to matching records as you type. If there are NO indexed fields included in the view, the search will be applied to all fields included in the view, including fields that the user has hidden. If the view includes indexed fields, the search will ONLY be applied to the indexed fields.
- Clear the search box to return to the full set of records.
How to Quick Filter
Quick Filter narrows a view to records matching conditions you set on one or more fields.
Click the funnel in the view toolbar to open the filter panel, choose a field, set your parameters, and click Apply.
Quick filters are yours alone and are temporary. TrackVia remembers them until you clear them or leave the application.
For the full walkthrough, including AND/OR conditions and removing filters, see How to use Quick Filters.
Wrap Column Headers
When a field name is longer than its column is wide, the header truncates and you see something like "Check ..." or "Damage Do..." instead of the full name. Wrapping the headers lets the full name run onto a second line.
To turn it on:
- Click the ellipsis (...) in the view toolbar.
- Switch on Wrap column headers.
The toggle is off by default. Switch it back off to return to single-line headers.
